Agree the communication before you agree the price

Four things, settled at booking.

Who is my point of contact? A name and a number that reaches somebody who knows about your job, not a general line. On a small operation that is straightforward; on a large one it is worth insisting on.

When will I hear from you? Agree the moments: confirmation that the load has departed, an update if anything changes, and notice before delivery. Knowing you will hear at a particular point removes most of the anxiety about not having heard.

How much notice will I get before delivery? This is the practical one. You may need to take time off, arrange access to a building, book a lift or simply be in the state. Ask what notice you can expect and hold them to it.

How do I reach somebody if I need to? Including outside office hours, because transit does not observe them.

What to do on your side

Be reachable, and tell us if that changes. Long moves frequently involve people travelling separately, changing phone reception, and staying somewhere temporarily. If we cannot reach you, delivery cannot be arranged.

Give us a second contact who is not you, and tell them they are one.

Confirm the delivery address details properly, including anything about access we should know, before the truck is anywhere near it.
