Arranging a Student's Move From Out of State

A common arrangement: a parent organising and paying for a move in Salt Lake City while living somewhere else, for a student who is in the middle of term and has not thought about logistics at all.

Settle who does what

Who is the point of contact on the day? It should be the student, because they are the one who will be there, and the crew needs somebody physically present who can answer questions. If you are paying and they are attending, say so at booking so nobody is confused about who to ring.

Who decides what goes? Genuinely worth agreeing, because it is the most common source of friction. A crew cannot arbitrate between a parent on the phone and a student in the room.

How is payment handled? Agree it in advance rather than at the end of the job, which is an awkward moment to be sorting out a card over the phone.

What to establish before booking

Ask your student for specifics rather than an impression, and be prepared for the impression to be optimistic.

What furniture is actually theirs and coming. Which floor, and whether there is a lift. How far the truck can park from the door. Whether the building requires the move to be booked, restricts hours, or wants a certificate of insurance.

That last one catches families out, because it takes longer to process on the building's side than anyone expects and it is discovered late.

Photographs from the student are worth more than any description, and take them thirty seconds.

The thing worth deciding early

What happens to the things they are not keeping. Student furniture is rarely worth transporting home or storing for a year, and the honest answer is often that it should be sold or given away before the move rather than paid for twice.

Having that conversation weeks ahead, rather than on move morning, is what keeps the job small.

One further thing worth knowing if the move is at the end of an academic year: the dates everyone else is working to are the same dates you are. Turnover weekends fill early across the whole valley, and a booking made three weeks out is a different proposition from one made three days out. If you are the one holding the calendar rather than the one in the middle of exams, booking early is the single most useful thing you can do from a distance.
