Healthcare is one of St. George's largest employers, and practices relocate as the area grows. A clinical move has requirements an ordinary office move does not, and most of them have to be settled well before anybody lifts anything.

Records come first, and they are not our decision

Patient records carry legal obligations around confidentiality, custody and continuity that rest with the practice, not with a moving company.

Decide with your compliance advisor how records will be transported, who has custody at each point, and how the chain is documented. Many practices move records themselves, by staff, precisely so custody never transfers. That is a reasonable approach and we will work around it.

What we will do is not open, sort or handle records outside whatever protocol you set, and follow written instructions on sealed and labelled containers.

Equipment is a specialist question

Be clear about the line. Movers transport; we do not decommission, calibrate or recommission clinical equipment.

Imaging equipment, chairs, autoclaves, laboratory instruments and anything requiring calibration generally need the manufacturer or a service engineer to disconnect and recommission, sometimes with certification afterwards. Book those engineers before you book the move, since their availability is usually the constraint.

Anything refrigerated, including vaccines and specimens, needs its own cold chain plan with monitoring. That is a clinical responsibility and it should never be improvised on a moving day.

Sequence around the schedule

Practices cannot simply close. The usual approach is a long weekend or a planned closure, with patients notified weeks ahead and the diary managed down beforehand.

Work backwards: last clinical session, equipment disconnection, move, equipment recommissioning and certification, systems tested, first clinical session. Leave a full day of slack before you see patients again.

Practice management software and connectivity, arranged with the provider well ahead. Both landlords' requirements, including certificates of insurance, lift bookings and permitted hours. Address changes with insurers, licensing bodies, referring practices, laboratories and every listing.

Above all, notify patients early and repeatedly, and put clear signage at the old address.
