What buildings ask for
A certificate of insurance, almost always for commercial premises. Frequently they want it to name the building or its management specifically, and sometimes with particular wording or limits. Ask for exactly what they need rather than sending a generic one, because a certificate that does not match gets rejected and the clock restarts.
Notice, and often a booked slot. For the freight lift, the dock, or the service corridor. In a multi-tenant building these are shared and finite.
Permitted hours. Most office moves happen outside business hours, which is exactly when building staff are not there, so it has to be arranged rather than assumed.
Protection of common areas. Many buildings require floor protection through shared corridors and lift padding, and hold the tenant responsible for damage. Ask who fits the lift padding, because it is often the building's job and often forgotten.
Access. Keys, fobs, alarm codes, and a named person who can be reached at the hour you are actually working.
The timing problem
The insurance side is quick. The building's review is not. Whoever approves it may work weekdays only, may be handling several tenants, and may come back asking for different wording.
Ask both buildings the day you have a date. A week is usually fine. Two days sometimes is not, and that is the situation that moves move dates.
Your own side
Ask your insurer what your contents cover does during a relocation. Some policies apply, some partially, some not.
For anything under a service contract, check whether moving it affects the contract before it moves.
One requirement people meet for the first time on the way out rather than the way in: the building you are leaving may want the space returned in a particular condition, and may inspect it. Read what your lease says about make-good and dilapidations well before your last week, because the obligations vary enormously and satisfying them at short notice is expensive. If fixtures you installed have to come out, that is work to schedule alongside the move rather than after it, and it is far easier while you still have access and the space is empty.
