In an apartment building there are two properties involved in your move: your unit, and everything between it and the street. Both can be damaged and the responsibility for each works differently.

Why buildings ask for a certificate

Precisely because of the second category. A moving crew works in corridors, lifts, lobbies and loading areas that belong to the building, and building managers want confirmation that damage there is covered rather than becoming a dispute between them, you and a company they have never heard of.

That is what a certificate of insurance is: evidence from an insurer that a company holds cover, of what type and to what limits.

Ask your building as soon as you have a date whether they require one and what wording they need, then tell us. The delay is essentially always on the building's side, not the insurer's.

Your unit and your deposit

Different question, and largely in your hands.

The damage that happens on move-out is predictable: doorframes, the corner where a hallway turns, walls at the height furniture is carried, and carpet from a full day of traffic through a propped door.

Floor runners go down before the first item moves and tight corners get protected, but the strongest protection is documentation. Photograph the empty unit before anything moves, including every existing mark, time-stamped. Do the same at the end. Three minutes, and it is the whole argument if a deduction is disputed.

Read what your agreement says about the condition it must be returned in before move day rather than after, because cleaning requirements vary and discovering them late is expensive.

What to do if something is damaged

Raise it while the crew is present. Damage noted on the day is a conversation with people who were there; found a week later it is a dispute about what happened.

Photograph it, and tell both us and the building if it is in a common area.

There is one more piece of paper worth having, and almost nobody asks for it: a copy of the move-in inspection report if your building produced one. Many managed buildings walk the unit with you at the start and record its condition, and that document is far more useful than your own photographs because it is theirs. If you were given one, find it before you move out. If you were not, ask whether one exists on file, because it may.
