Before anybody arrives
Staff have packed their own desks into labelled crates, days earlier. Technology has been shut down in the order your IT people specified, and anything they are handling personally has gone with them.
The layout exists, printed, in somebody's hand. Access, keys and alarm codes are confirmed with a named person reachable that night. Lift booked, dock arranged, certificates cleared with both buildings.
The evening itself
First: protection and a walkthrough. Floor runners through the route, lift padding if the building requires it, doorframes on tight corners. Then a walk of the space agreeing what goes, what stays, and anything that needs particular care.
Then: dismantle in sequence. Workstations come apart in an order and go back in the reverse. Panels labelled by destination position as they come off.
Then: load by destination area, so the truck comes off in the order the new floor needs rather than the order the old one gave up.
At the new site: place, do not stack. Furniture goes where the plan says. Crates go to the desk they belong to. Anything without a clear destination goes in one designated area rather than the nearest gap, so it can be resolved rather than lost.
Then: rebuild workstations, which is the long part and why the labelling matters.
Last: a walk of both spaces. The old one to confirm it is empty, including store cupboards and under desks. The new one to confirm nothing is obviously wrong while the crew is still there.
What makes it run late
Staff who did not pack. A layout nobody can read. Nobody empowered to answer a question. A lift slot shorter than the job. Access that was assumed rather than confirmed.
All five are decided before the evening starts.
The other thing that costs time is a building that turns out to be less available than expected. A freight lift shared with another tenant moving the same weekend, a dock that somebody else booked, a door that needs a code nobody has after eight. Those are not failures of planning so much as failures of confirming, and the fix is to reconfirm the building arrangements two days before rather than relying on an email sent a month earlier to somebody who may no longer work there.
