Draw the lines before the move
Three, agreed in advance and ideally written down.
Physical handling versus configuration. We move equipment carefully. Whether a machine works when it is plugged in again depends on shutdown order, backups, cabling and configuration, and those decisions belong with whoever runs your systems. A server that arrives undamaged and will not come back up is not usually a moving problem, and establishing that beforehand avoids an argument at a bad moment.
Have the conversation with your IT provider a week out, not on the morning.
Who packs what. For anything confidential, your own staff should pack and seal it. For anything specialist or calibrated, whoever services it.
Chain of custody for records. Who packs, how containers are sealed, how a seal is verified at the other end, who signs against what list, and where it sits while the rest of the office is placed. Numbered seals are simple and effective.
Practical protections
Photograph equipment before it is unplugged, including the back of anything with cabling. It turns reconnection from a puzzle into a five minute job and it records condition.
Keep each person's monitors, dock and cables together as a labelled set rather than pooling them, which reduces both loss and confusion.
Anything genuinely critical or irreplaceable is better travelling in somebody's car than on a truck, for the same reason jewellery is on a house move.
Check whether moving anything under a service contract affects that contract before it moves.
Your landlord and your insurer
Both buildings will very likely want a certificate of insurance, and their processing is habitually slower than anyone plans for. Ask us as soon as you have a date.
Ask your own insurer what your contents policy does during a relocation. Some cover it, some partially, some not.
