Even a small business increasingly has a rack somewhere: a server, a switch, a firewall, a backup appliance and a lot of cabling. Moving it is not like moving furniture, and the risk is not really the hardware.

Back up first, and verify it

Before anything is unplugged. Full backups, verified as restorable, stored somewhere other than on the equipment being moved.

This is basic and it is skipped constantly, usually because the move seems short. The point of a backup is the case where the hardware does not survive the journey.

Agree who does what, in writing

The line matters here more than anywhere.

Your IT provider shuts systems down in the correct order, disconnects, labels, and at the far end racks, cables, configures and tests. We transport.

What causes failures is the assumption that a moving crew will handle the technical side, or that the IT provider is arranging the physical move. Write it down.

Photograph and label before anything comes out

Photograph the front and back of the rack before a single cable is removed. Then label both ends of every cable.

Rebuilding a rack from memory takes hours. Rebuilding from photographs and labels takes a fraction of that, and it is somebody's Saturday either way.

How equipment should travel

Servers out of the rack rather than in it, unless the rack is designed to be moved loaded and secured properly. A loaded rack is top-heavy, and rack rails are not transport mounts.

In original packaging where you kept it; otherwise anti-static wrapping and proper padding, upright, secured so nothing shifts.

Drives are the sensitive component. Mechanical drives dislike shock, so anything spinning should be handled as fragile.

Heat is the local factor

Genuinely relevant. Servers should not sit in a closed truck in a Washington summer. They travel in an air-conditioned vehicle, and so do UPS batteries, which degrade with heat and can swell.

At the far end, let equipment reach room temperature before powering it up rather than switching on something that has just come out of a hot vehicle.

The new room

Confirm before the move: power, including any dedicated circuits, cooling for that room specifically, and network cabling terminated and tested.

A server room without cooling is a problem within hours here.
