Leased Equipment You Cannot Simply Move

Most offices contain equipment that belongs to somebody else: a copier or multifunction device, a postage machine, a coffee machine, sometimes phone hardware or a security system.

Those are frequently moved on moving day like anything else, and the agreements behind them usually say that should not happen.

Check the agreements before you plan the move

Equipment leases and service contracts commonly include terms about location. Typical ones:

The equipment may not be relocated without the lessor's consent. Relocation must be performed by the lessor or an authorised technician. Moving it yourself can void the service agreement or the warranty. Damage during an unauthorised move is your liability rather than theirs.

None of that is unreasonable from their side. A copier is a precision device with components that need locking before transport and calibration afterwards.

The practical consequence is that you should notify the lessor early and ask how they want it handled.

Copiers specifically

The commonest case and the one most often got wrong.

Large multifunction devices have scanner assemblies and toner systems that need securing before movement, and they are heavy with a high centre of gravity. They also frequently store data, meaning images of documents scanned or printed, which is its own consideration.

Most lessors will move it, sometimes at a charge, sometimes included. Ask.

The other things somebody else owns

Postage meters, which are often regulated and registered to an address. Water coolers and coffee machines on service contracts. Alarm and access control equipment. Sometimes phone handsets. Occasionally furniture, on a lease.

Make a list of anything that is not yours before quoting the move, because it changes what needs transporting.

While you are checking

Ask each provider what happens to the agreement itself at a new address: whether service coverage continues, whether the address needs updating formally, and whether the term or price changes.

A move is also a reasonable moment to review whether you still need each of them.
