What a Business Move Costs Beyond the Invoice

Businesses budget for the mover and are surprised by the total. The moving cost is generally the easiest part to predict and the smallest part of what a relocation actually costs.

Where the money actually goes

Downtime. The largest by a distance for most businesses. Every hour people cannot work has a cost, and for anything customer-facing it also has a revenue cost. This is why moving outside working hours is usually cheaper overall despite costing more per hour.

Staff time before and after. Packing, sorting, labelling, unpacking, and the fortnight of reduced productivity while people find things. It is real and it never appears in a budget.

Overlap. Paying for two spaces during a transition. Usually worth it, and worth knowing you are paying for it.

Technology. Installation at the new site, which has lead times measured in weeks, plus any cabling or equipment the new space needs.

Everything with your address on it. Signage above all, which has weeks of lead time and gets ordered late. Then stationery, listings, forms and anything printed.

Fit-out and furniture that does not transfer. Modular desking rarely reconfigures cleanly into a different floor plan, and the number of panels you own is not the number the new layout needs.

What reduces it

Move in your quiet period if there is any latitude on the lease date. The difference between your slowest and busiest week is far larger than any difference between moving companies.

Reduce before you move. Run inventory down, decide what furniture is not coming, and deal with filing before rather than after. Paper is dense and moving it twice is expensive.

Sequence for the fastest return to work. Get the space where people actually sit working first and finish the back of house afterwards.

Order the long-lead items early. Internet and signage, both routinely late.

Nominate one person to decide things on the night. Every move produces small unanticipated questions and somebody being there to answer them keeps it on schedule.

One cost worth naming separately because it is invisible until it lands: the fortnight after the move, when the whole team is slightly slower. People cannot find things, the printer is not set up, somebody's monitor is missing a cable. It is not a line item and it is real, and the way to shrink it is entirely down to labelling and to keeping each person's equipment together as a set rather than pooling it into general boxes.
