Where the hours get wasted

Packing that is not finished. The largest, every time. A crew arriving to open boxes either waits or packs, and you are paying either way. Everything boxed, taped and closed before they arrive, including the kitchen and the garage.

The truck not being there. Uniquely a labor-only problem. If you are collecting a rental that morning and it takes longer than expected, the crew is standing in your driveway on the clock. Collect it the day before if you can.

Deciding during. Anything unresolved becomes a question. Put what is not going in a separate room and say so at the start.

An unclear route. Cars in the driveway, a gate that needs a code, a hallway full of things. Clear it before they arrive.

Where the hours are worth spending

Not all crew time is equal, and if the budget is limited these are where it returns most.

Loading. The highest value per hour. A truck built tight and in tiers does not shift on the road, and gaps are what damage furniture in transit. Poor loading costs more in broken things than the crew would have.

Anything heavy or awkward. Appliances, a sofa down a turning staircase, anything you would be moving badly. This is where injuries and property damage happen.

Whichever end has stairs.

What you can absorb yourself

Packing, which is time rather than skill. Sorting and disposing beforehand, which reduces everything else. Small boxes by car over the preceding week if the move is local. And the driving, if you are genuinely comfortable with a loaded truck, which is a real question in winter and on a grade.

One arrangement people rarely consider and which often fits: a crew for a short, defined window at each end rather than for the whole day. You move the boxes yourself over the preceding week, the crew arrives for two hours to load the furniture and appliances, you drive, and a second crew unloads. That puts paid help precisely on the difficult, heavy, dangerous parts and none of it on the parts you can do in your own time.
