Where it works best

The saving is real. Three people sharing a booking pay a share of the minimum and the travel rather than each paying it in full.
Agree these before you book
Who is booking and who is paying. One person books and everybody pays them, before the day rather than after. Money collected afterwards frequently is not.
How you are splitting it. Evenly is simplest and fair when volumes are similar. Where somebody has a sofa and somebody has four boxes, split by rough volume instead and settle it in advance rather than at the end.
The order. Whose things load first and whose unload first, which matters because the last on is the first off.
What happens if somebody is not ready. The most likely problem. Agree that the crew does not wait, because waiting is billed to everybody.
Label everything, by person
The one practical requirement. Different coloured tape or a name on every box and item, on more than one side.
Mixed loads get separated at the far end by whatever is written on them, and unlabelled belongings in a shared move become a genuine nuisance.
Keep your own list of what you put on.

Anything valuable travels with you
Laptops, documents, medication and anything irreplaceable. That is true on any move and more so on a shared one where several people's things are mixed.
In summer that is the right answer anyway, since a hot truck is bad for electronics and batteries.
Book early at term end
The weeks when everybody moves are when crews and trucks run out rather than simply getting busy. A shared booking made three weeks ahead is easy; the same one made three days ahead may not exist.
