Plan the new space first
The mistake is measuring what you have and looking for somewhere it fits. Do it the other way.
Decide how the smaller office actually works: how many desks are needed on the busiest day rather than in theory, whether desks are assigned or shared, what meeting space you genuinely use, and where storage goes.
Then furnish against that plan. Everything not on it is surplus, and that decision is far easier made against a drawing than against a room full of familiar furniture.
Be honest about desk numbers
Where attendance varies, businesses commonly plan for a day that never happens and end up paying rent for empty desks again.

Donate serviceable items; schools, churches and non-profits genuinely want desks, chairs and shelving. Book collection specifically.
Haul the remainder in one visit before the move rather than transporting it and dealing with it later, which is what most businesses do and what costs the most.
Paper is the other one
A downsize is the moment to deal with archives rather than to rent storage for them.
Work out what must be retained and for how long, digitise what is worth digitising, and dispose of the rest securely. Moving boxes of paper into a smaller office defeats the purpose.
Do not forget the lease you are leaving
Read the exit terms months ahead. Restoration, removal and cleaning obligations are frequently more than expected and always cheaper handled in advance.
