Nonprofit and congregational moves have a particular shape. There is usually goodwill and volunteer labour available, very little money, and a great deal more stuff than anybody expected, much of it donated and much of it with somebody attached to it.

Just-In-Time Moving is locally owned and works throughout St. George and Washington County.

Use volunteers well, and not for everything

Volunteers are genuinely valuable and they should not be doing the dangerous parts.

Put them on boxes, packing, sorting, labelling, cleaning, refreshments and setting up at the far end. That is real work and it is most of the hours.

Hire a crew for a short window for the heavy and awkward items: safes, pianos, large furniture, filing cabinets, anything on stairs and the truck loading. That is where injuries happen, and a volunteer hurt helping is not covered by anybody's insurance.

This split typically costs a fraction of a full move and removes the whole risk.

Decide what comes, and give somebody authority to decide

The hardest part of these moves is not lifting. It is that everything was donated by somebody, and nobody feels able to dispose of it.

Appoint a small group with explicit authority from the board or leadership to make the calls, and let them work against the new floor plan rather than item by item. Without that, a nonprofit move transports thirty years of surplus into a smaller building.

Offer surplus to the congregation or membership first. It usually finds a home and it avoids the sense that things were discarded.

Records need care

Membership lists, donor records, financial files and personnel documents carry obligations regardless of organisation size. Keep custody clear, seal and number the containers, and have a named person receiving them.

Ask about the things nonprofits forget

Insurance for the day, and whether volunteers are covered under any policy you hold. The new building's requirements, including certificates of insurance from any mover. Address changes with the state, donors, grantmakers, banks and every listing.

And tell your people early and repeatedly, with signage at the old address. For a congregation the communication matters more than the logistics.

Time it around your calendar

Move in the quietest part of your year, not the busiest, and not the week before an event.

Tell us what you have and what your volunteers can cover. We will quote the part you actually need, in writing and free.
