Where the cost sits
Volume you are not keeping. The basement, the garage, the loft and the storage room. In a long-owned house these frequently hold more than the living space, and moving any of it is money spent twice, since it has to be disposed of again from a smaller home.
Time spent deciding. On a downsizing move the crew's pace is set by decisions, not by carrying. A day where a crew waits while somebody works out whether a chair is coming is an expensive day, and an unkind one.
Access at the old house. Stairs, a basement, no driveway. Common in the older housing here and worth describing accurately when quoted.
The two-stage approach
The single biggest saving, and it feels less efficient, which is why people resist it.
Stage one: sort and clear, weeks ahead. Basement and garage first, because they hold the most and produce the hardest decisions. Give family a real deadline to collect anything of theirs. Then have the clear-out hauled.
Stage two: move what is left. By this point the move is a normal move of a known quantity, quoted accurately and done in a day.
Doing it as one event means paying to transport things that then have to be removed from the new home, and it means making decisions under time pressure that people frequently regret.
The other saving
Measure the new place before sorting rather than after. It changes what is worth keeping, and deciding once is cheaper and easier than deciding twice.
And be honest at the survey. An optimistic description of what is coming produces an optimistic quote, and the correction happens on the day when everybody is already tired.
