Individually trivial. Collectively, if each one has to wait for an answer, they are how a six hour move becomes a ten hour one.

What you need on your side

One person, present, empowered. Not a committee, and ideally not somebody who has to phone another person. Whoever it is should be able to say where something goes and to approve a small change without escalating.

If they genuinely cannot decide something, they should know who can and be able to reach them at that hour. Establish that before the day, with a number that works.

A layout they can read. Not a formal drawing necessarily, but specific enough that the crew places things instead of asking.

This is the practical advantage a smaller operation has on commercial work. The person you walked the site with is connected to the crew doing it, so context does not have to be reconstructed at ten at night by somebody reading a job sheet.

Label by destination rather than origin. Keep each person's equipment together. Technology decisions with whoever runs your systems, a week out. After-hours building access, keys and alarm codes arranged in advance. Certificate of insurance requested as soon as you have a date, since building processing is habitually slow.
