Businesses ask a moving company for a certificate of insurance, which is right and which most buildings require. Considerably fewer ask their own broker what their commercial policy does while the contents of the office are in a truck.

Those are different questions covering different things, and both matter.

Five questions for your broker

Is business contents cover tied to the scheduled address? Frequently it is, which means equipment in transit or at a second address may sit outside it. This is the central question.

Am I covered at both premises during the overlap? If you hold two leases for a fortnight, the policy needs to know.

Is equipment covered in transit? Sometimes an extension, sometimes not included, occasionally excluded outright.

Is the sum insured still right? A move is when businesses discover they insured for what they owned four years ago. Count the workstations and add it up.

Does business interruption apply to a planned move? Usually not, since it is generally triggered by an insured event rather than a scheduled closure, but it is worth knowing before you assume otherwise.

Update the address, and when

Tell your insurer the new address, and be specific about the date cover should shift. Businesses commonly do this weeks late and are unaware they had a gap.

The same applies to any equipment specifically scheduled on the policy.

What the mover's insurance is for

Different thing. It covers damage the moving company causes, including to the building itself, which is why landlords ask for the certificate before allowing access.

Request it early. Certificate processing is slow and it holds up building approval more often than anything else in an office move.

Ask both landlords what they require rather than one, since the building you are leaving frequently has conditions of its own for move-out day, and they are not always the same as the incoming building's.

Practical protection regardless

Back up everything before the move, verified, stored elsewhere. Photograph equipment and serial numbers. Keep anything irreplaceable, along with records and payment devices, transported by staff rather than on the truck.

Raise any damage on the day while the crew is present.
