Move-In Fees and What They Actually Cover

Signing a lease at an apartment complex usually involves several charges beyond the first month, and they are presented late in the process when you have already decided.

Knowing what to ask about, and which are negotiable, is worth a few hundred dollars.

The charges you may see

Application and screening fees, usually per adult and generally not refundable.

An administrative or move-in fee, which is a charge for processing rather than a deposit, and which you do not get back.

A security deposit, which is refundable subject to condition, and which is a different thing from the above however similarly it is described.

A non-refundable cleaning fee, in some cases charged in addition to the deposit.

A reservation or holding fee to take the unit off the market.

Pet fees, pet deposits and pet rent, which are frequently three separate things.

Ask which of these are refundable, in writing. The distinction between a deposit and a fee matters enormously at the end of a tenancy and is often blurred in conversation.

What to ask specifically

What is the total due before I get keys? Which portion is refundable? What are the conditions for getting the deposit back? Is there a separate charge for the move itself, such as a lift reservation or a damage deposit for common areas?

Get the answer as a written list rather than a figure quoted verbally.

The moving-day requirements

Separate from fees and just as capable of causing trouble.

Ask whether the move must be booked, whether hours are restricted, where a truck may stand, whether there is a height limit on covered parking, and whether they require a certificate of insurance from your mover.

Most complexes here do require one. Ask weeks ahead, because broker processing is the slow part and it delays more moves than anything else.

Protecting the refundable part

Photograph every room before your belongings go in: walls, floors, doorframes, appliances, and every existing mark close up. Email them to yourself so they carry a date.

Complete any inspection form fully rather than ticking through it, note trivial things since trivial is what gets charged for, and keep a copy.

Keeping the move itself cheap

Carry the boxes yourself across the preceding week and book a crew for the furniture and appliances only. Ask about the minimum number of hours, which on a small job matters more than the rate.
