Settle these three things

Who decides on the day. The most important. If the person moving is making the decisions, say so clearly, and make sure the crew knows to ask them rather than deferring to a voice on a phone. If somebody else is deciding, that person needs to be reachable and available, not in meetings.

The situation to avoid is a crew waiting while a question travels to another state and back.

Who is physically present. Ideally somebody, even if it is not the organiser. A neighbour, a friend, another relative. Someone to let the crew in, answer the small questions and walk the house at the end.

If genuinely nobody can be there, tell us at booking so the day is planned around it rather than discovered.

What has already been decided, in writing. Which rooms are going, which are not, and anything unusual. Whole-space instructions are unambiguous in a way item-by-item ones are not.

What we can do from here

Walk the house and tell you honestly what is there, which is often the thing an out-of-state family most needs. Quotes based on a parent's description of their own house are frequently optimistic, in the kindest way.

Send photographs afterwards if you want confirmation of how the property was left.

Take questions directly from you rather than routing everything through the person moving, which is often kinder to them.

The thing worth protecting

Whoever is organising, the decisions about their own belongings should stay with the person moving wherever possible. It is easy, at a distance and under time pressure, to become efficient about somebody else's life. Our crews work at the household's pace, and if that means a second trip, it means a second trip.

That is also worth saying to yourself before you fly in for the weekend. Families organising these moves are often working to a narrow window because of flights and time off, and the pressure that creates is real and it lands on the person moving. If the schedule is genuinely tight, it is better to plan a smaller first move and come back than to compress every decision into two days somebody will remember for the rest of their life.
