Businesses have processes for contractors coming on site, and moving companies are frequently allowed to bypass them because a move feels like an event rather than work. It is work, done by people you have not vetted, often outside hours when nobody else is there.

What to verify before anybody arrives

Insurance, in the form your organisation actually requires. Not just that it exists. If your process specifies limits or wording, or requires being named, say so at booking, because certificates take longer to amend than to issue.

Who is coming. Whether the crew are employed by the company or subcontracted, and whether you need names in advance for access control.

Whether they carry their own equipment, including anything powered. If crews will use your equipment, forklifts particularly, that is a separate conversation about authorisation and cover, and the answer is usually that they should not.

Your own obligations

Site induction or briefing, even a short one. Where the exits are, what the alarm situation is, which areas are off limits, and who is the point of contact.

Hazards you know about. A loose step, a low beam, a floor that has been patched, a door that closes on people. Tell the crew rather than assuming they will notice at eleven at night.

Out-of-hours arrangements. Somebody reachable, and a plan if an alarm activates. Most commercial moves happen when the building is empty, which is exactly when a problem is hardest to resolve.

Your landlord's requirements, which are separate from yours and usually include a certificate and protection of common areas.

The equipment line

Agree in advance what is moving work and what is not. Anything anchored, plumbed, gassed or calibrated needs specialist disconnection and recommissioning, booked separately with whoever services it.

Getting that written down before the day removes the most common commercial dispute, which is about who was responsible for something that did not work afterwards.

The same logic applies to anything of yours that stays behind temporarily. If part of the operation is remaining at the old site for a few weeks, be explicit about what is still yours, who has access, and what happens if the landlord wants the space cleared sooner. That is easy to agree while both parties are being cooperative and considerably harder once a lease has ended and somebody wants a key back.
