Eight weeks out, or as soon as the space is confirmed

Order the internet connection. It is the single most common thing that delays a business becoming operational, and installation lead times are measured in weeks.

Order signage, for the same reason.

Request certificates of insurance for both buildings. The insurance side is quick; the buildings' review is not.

Book the mover, and walk both sites.

Four weeks out

Decide the destination layout and get it drawn, even roughly. Everything downstream depends on it.

Book specialist disconnection and recommissioning for anything anchored, plumbed, gassed or calibrated, at both ends. These have their own schedules and frequently control yours.

Confirm lift, dock and after-hours access arrangements with both buildings, in writing.

Decide what is not coming, while you are still somewhere with room to stage it.

Two weeks out

Give staff crates and a packing deadline that falls a week before the move, and state plainly that anything not packed will be packed for them.

Agree the labelling scheme and make sure it matches the layout drawing.

Have your IT people confirm the shutdown sequence and what must be working first.

Make the list of everything carrying your address.

The final week

Reconfirm building access, keys and alarm codes with a named person reachable at the hour you are moving. An email sent a month ago to somebody who has since left is not a confirmation.

Nominate who is present and empowered on the night.

Reduce the diary for the first day back.

The night itself

Protection first, then dismantle in sequence, then load by destination area, then place rather than stack.

Then walk both spaces before anybody leaves.

The week after is worth a line too, because it is where a move is actually judged. Book a walk-round at the end of the first week with whoever ran it, and write down everything unresolved: furniture in the wrong place, damage to raise, things that never arrived, anything not working. Doing it while it is fresh matters, because damage is far easier to resolve with a mover in the first days than a month later, and building problems are easier while the landlord's attention is still on your fit-out.
