Older commercial buildings are appealing places to work and they were built before anybody imagined a floor full of adjustable desks and monitor arms arriving in one evening.

Establish the vertical route first

Before anything else, find out how things get to the floor you are moving to.

If there is a lift, measure it: width, depth and height, and the door aperture, which is often smaller than the car. Find out what it is rated to carry and whether it is a passenger lift being used as a freight lift, which changes what is reasonable to put in it.

If there is no lift, the staircase is the whole job. Photograph it, including every turn and landing. A tight turn around a newel post stops more furniture than any other feature of a building.

Then reconsider the furniture. If a conference table or a large desk will not go up, it is much better to know that before it is bought or moved than to find out with it stuck on a half-landing.

Loading and street access

Many older downtown buildings have no dedicated loading area, so a truck sits on the street and there is a longer carry than in a modern building.

Find out whether that is permitted, whether it needs arranging, and whether there are time restrictions. In winter the route from a street parking spot needs clearing and salting, and it may not be obviously anybody's responsibility.

The building's own constraints

Older buildings frequently have rules that newer ones do not: protecting common areas and original finishes, restrictions on which entrance may be used, limits on hours because of residential neighbours above or nearby.

Ask about floor loading if you are bringing anything genuinely heavy, such as a large safe or a substantial filing installation. That question belongs with the building or an engineer rather than with a moving company, and we will say so if we think it is worth asking.

The landlord will very likely want a certificate of insurance. We are licensed in Utah, carry general liability insurance and can provide one. Ask early.

The ordinary parts

Sketch the destination layout and label everything by where it is going rather than where it came from. Keep each person's monitors, dock and cables with their own desk, and bag cables per desk.

Technology decisions belong with whoever runs your systems, a week out. Arrange after-hours access, keys and alarm codes in advance.
