Office moves used to mean expanding. A good share of them now mean the opposite: the same business into a smaller footprint, with fewer permanent desks than there were people. That is a different exercise from carrying an office across town, because the hard decisions are about what does not go.

Decide the surplus before the move, not after

The mistake is to move everything and sort it out at the far end. It costs twice and it fills a smaller space with furniture that then has to leave again.

Work out how many desks and chairs the new layout actually holds, and be strict about it. Measure. Modular desking that fitted one floor plan does not automatically reconfigure into another, and the number of panels you have is not the number you need.

Then decide what happens to the surplus while you are still in the old space, where there is room to stage it. Some goes with you as spare, some goes to whoever is taking it on, some is cleared. Having a plan for each pile before move day is what stops the new office becoming a storage room.

Shared and flexible layouts

If the new space uses shared desks or hot-desking, the labelling logic changes. Individual monitors and docks may no longer belong to a named person, in which case they need labelling by position rather than by owner, and somebody has to decide that mapping before the day rather than during it.

Personal effects are the part that goes wrong. If people no longer have an assigned desk, they need a crate or a locker with their name on it and somewhere for it to land. Otherwise their belongings arrive as an anonymous pile and stay that way.

The usual essentials

Sketch the destination layout, label by where things are going rather than where they came from, and nominate one person present on the night who can answer questions without phoning somebody else.

Technology decisions belong with whoever runs your systems. Shutdown order, backups, what has to be working first. Our crews move the equipment carefully; nobody should be making calls about your infrastructure who does not run it.

Check whether the building needs after-hours access arranged and whether the landlord wants a certificate of insurance. We are licensed in Utah, carry general liability insurance, and can provide one. Ask early; processing on their side is habitually slow.
